Cancellation Policy

This Cancellation Policy ("Policy") governs the cancellation, modification, no-show, and refund rules applicable to all reservations made through Table Tennis Time. By making a reservation, Members and Guests agree to comply with this Policy.

 

Reservation Confirmation

A reservation is confirmed only after:

• Any payment or payment authorization required for the reservation has been successfully processed;

• Table Tennis Time has issued a reservation confirmation; and

• The reservation is reflected in the customer's registered account or reservation record.

A pending reservation, attempted payment, temporary payment authorization, or incomplete checkout does not guarantee table availability.

Table Tennis Time may cancel or decline a reservation that cannot be verified because of a failed, declined, reversed, disputed, or incomplete payment, inaccurate reservation information, suspected fraud, or a technical or system error.

When Table Tennis Time cancels a confirmed reservation because of a verified system, scheduling, or facility issue within its reasonable control, Table Tennis Time may provide a replacement reservation, booking credit, or refund, as appropriate. Cancellations caused by events beyond Table Tennis Time's reasonable control are governed by the applicable facility-closure and force-majeure provisions.

Member Cancellations

Members may cancel a reservation without a cancellation penalty by submitting the cancellation through their registered account or another approved cancellation method at least twenty-four (24) hours before the scheduled reservation start time.

When a Member timely cancels a reservation:

• Eligible reservation credits will be reinstated;

• Any eligible amount paid specifically for the reservation will be refunded or credited in accordance with the applicable payment terms; and

• Complimentary playing hours used for the reservation will be restored to the Member's account; No cancellation fee will apply.

Restored complimentary playing hours remain subject to their original monthly expiration date and do not carry over to a later monthly billing period.

Reservations canceled less than twenty-four (24) hours before the scheduled start time are considered late cancellations and are subject to the Late Cancellations section below
.

Guest and Non-Member Cancellations
 

Guests and non-members may cancel a reservation without a cancellation penalty by submitting the cancellation at least twenty-four (24) hours before the scheduled reservation start time.

When a reservation is timely canceled, any eligible reservation payment may be:

• Refunded to the original payment method; or

• Issued as a booking credit toward a future reservation.

Refunds are subject to applicable payment-processing requirements and may take additional time to appear in the customer's account.

Reservations canceled less than twenty-four (24) hours before the scheduled reservation start time are considered late cancellations and are generally non-refundable.
 

Late Cancellations
 

A reservation canceled less than twenty-four (24) hours before its scheduled start time is considered a late cancellation.

A late cancellation may result in:

• Loss of the complimentary playing hours applied to the reservation;

• Forfeiture of reservation fees;

• Forfeiture of booking credits;

• Loss of promotional benefits applied to the reservation; and

• The reservation being treated as used or completed.

No refund, credit, restoration of complimentary hours, or replacement reservation will be provided for a late cancellation unless required by applicable law or expressly approved in writing by Table Tennis Time.

Table Tennis Time may consider documented emergencies or exceptional circumstances at its reasonable discretion. Approval of an exception in one situation does not require Table Tennis Time to approve an exception in another situation.

No-Show Policy
 

A reservation will be considered a No-Show when the Member, Guest, or non-member:

• Does not check in or use the reservation during the reserved time; and

• Has not canceled the reservation before the scheduled reservation start time.

A reservation that is canceled before its scheduled start time but less than twenty-four (24) hours in advance will be treated as a late cancellation rather than a No-Show.

A No-Show may result in:

• Loss of complimentary playing hours;

• Forfeiture of reservation fees or booking credits;

• The reservation being treated as used or completed;

• Temporary suspension of reservation privileges; and

• Membership disciplinary action for repeated No-Shows or reservation abuse.

Repeated No-Shows, speculative bookings, excessive cancellations, or other misuse of the reservation system may result in additional charges, suspension of booking privileges, cancellation of future reservations, or other appropriate disciplinary action.
 

Reservation Modifications and Rescheduling
 

A reservation may be modified or rescheduled without a cancellation penalty when:

• The request is submitted at least twenty-four (24) hours before the scheduled reservation start time;

• The requested replacement date and time are available; and

• Any applicable price difference or additional charge is paid.

Requests submitted less than twenty-four (24) hours before the scheduled reservation start time may not be accommodated and may be treated as late cancellations.

Rescheduling is not guaranteed. Table Tennis Time may deny repeated modification requests, speculative rescheduling, or attempts to use reservation modifications to avoid cancellation requirements, booking limits, or other reservation policies.

Cancellation by Table Tennis Time
 

Table Tennis Time may cancel, relocate, shorten, or reschedule a reservation when reasonably necessary because of:

• Maintenance or repairs;

• Safety or security concerns;

• Equipment failure;

• Scheduling or system errors;

• Facility closure;

• Government orders;

• Emergencies; or

• Other operational requirements.

When a confirmed reservation is canceled because of a verified issue within Table Tennis Time's reasonable control, Table Tennis Time may offer a replacement reservation, booking credit, or refund.

Table Tennis Time is not required to provide a refund or credit when cancellation or interruption results from an event beyond its reasonable control, except where required by applicable law.

Relationship to Membership Cancellation

Canceling a table reservation does not cancel, pause, or terminate a membership.

Membership cancellation requests must be submitted separately through the Member's online account, the approved Membership Cancellation Form, or by contacting Table Tennis Time at info@tabletennistime.com.

Controlling Terms
 

This Policy must be read together with the applicable Membership Agreement, Membership Policy, Reservation Policy, Terms of Service, Code of Conduct, and all posted facility rules.

For Members, if this Policy conflicts with the applicable Membership Agreement, the Membership Agreement will control, except where applicable law requires otherwise.
